Terms of service

These terms of service (“Terms”) are a contract between you and DocNearMe UK, the operator of the DocNearMe platform. They apply when you visit our website, create an account, search for healthcare providers, submit a booking request, leave a review, or otherwise use our services.

Depending on how you use DocNearMe, you may be:

• A visitor — browsing public pages without signing in;
• A patient or account holder — using DocNearMe to find providers, request appointments, or manage bookings; or
• A provider or clinic user — a healthcare professional or authorised staff member using clinic or provider tools.

If you use DocNearMe on behalf of an organisation, you confirm that you have authority to bind that organisation to these Terms.

When you book or attend an appointment, your relationship is with the clinic or practitioner you choose. They are responsible for clinical care, professional standards, medical records, and compliance with healthcare regulations applicable to their practice.

Information on provider profiles — including specialties, fees, availability, and reviews — is supplied by providers or derived from information they give us. While we take steps to maintain quality and accuracy, we do not guarantee that every detail on the platform is complete, current, or suitable for your particular needs.

DocNearMe is currently offered as an early-stage beta service. Features, availability, and content may change, be limited, or be interrupted while we develop and improve the platform.

During beta, you should be aware that:

• some clinics, doctors, or availability shown on the site may be sample, placeholder, or demonstration content until real providers complete onboarding;
• a listing on DocNearMe does not guarantee that a provider is accepting bookings through the platform;
• we may modify, suspend, or withdraw features with reasonable notice where practicable, or immediately where needed for security, legal, or operational reasons.

Real clinics and practitioners can apply to join through our For providers page. We may prioritise onboarding for selected partners during beta.

4.1 Who may use DocNearMe

You must be at least 18 years old to create a patient account. If you arrange care for someone else (for example, a child or dependant), you confirm that you have legal authority to do so and to provide their information where required for a booking.

Provider and clinic accounts are available only to authorised representatives of healthcare businesses or practitioners who complete our onboarding and verification process.

4.2 Account security

You are responsible for:

• keeping your sign-in details confidential;
• all activity that occurs under your account; and
• telling us promptly at support@docnearme.co.uk if you suspect unauthorised access.

You agree to provide accurate, current information when registering and to update it when it changes.

You agree not to misuse DocNearMe. In particular, you must not:

• use the platform for unlawful, fraudulent, or harmful purposes;
• submit false bookings, fake reviews, or misleading information about yourself or others;
• attempt to access accounts, data, or systems you are not authorised to use;
• scrape, crawl, or harvest data from the website except as permitted by law or our written consent;
• interfere with the security or performance of the platform, including by introducing malware or excessive automated traffic;
• use DocNearMe to seek emergency care or urgent medical advice; or
• impersonate another person or misrepresent your affiliation with a clinic or provider.

We may investigate suspected breaches and take action we consider appropriate, including removing content, restricting access, or closing accounts.

DocNearMe displays information about private healthcare providers to help you compare options. Search results and rankings may consider factors such as relevance, location, availability, verification status, and platform policies.

We do not endorse any particular provider. You are responsible for:

• checking that a provider is appropriate for your needs before booking;
• confirming fees, insurance acceptance, and appointment details directly where important to you; and
• reading any provider-specific terms, policies, or intake requirements they give you.

Where we indicate that a provider or registration has been verified, that reflects our checks at the time shown and does not replace your own due diligence or the provider's professional obligations.

7.1 How booking works

When you request or confirm an appointment through DocNearMe, you are making an arrangement with the selected provider. We transmit the information needed for the clinic to accept, prepare for, or manage the visit. Some bookings may require provider confirmation before they are final.

You agree to attend on time, provide accurate contact and health-related information requested for the appointment, and follow the clinic's reasonable instructions before and during your visit.

7.2 Cancellations, rescheduling, and no-shows

Cancellation and rescheduling rules are set by each provider unless we state otherwise at the point of booking. Late cancellations or missed appointments may result in fees charged by the provider in line with their policy.

Where cancellation tools are available in your account or booking confirmation, use them as early as possible. If you cannot attend, contact the clinic directly when needed.

7.3 Provider decisions

Providers may decline or reschedule booking requests, limit appointment types, or refuse service where permitted by law and their professional judgment. DocNearMe is not responsible for clinical decisions made by providers.

Browsing DocNearMe is free for patients in most cases. Individual providers set their own consultation fees and payment requirements. Where online payment is offered, it may be processed by a third-party payment provider. We do not store full payment card numbers on our systems.

You are responsible for:

• any fees payable to a provider for appointments, no-shows, or late cancellations;
• checking whether your insurer covers the service and arranging any required authorisation; and
• reviewing charges shown at checkout or in booking confirmations before completing payment.

If a payment dispute arises in connection with clinical services, you should contact the provider in the first instance. We may help facilitate communication where appropriate but are not the treating party.

Provider subscriptions

Clinics and practitioners who subscribe to DocNearMe tools are subject to separate commercial terms communicated during onboarding, including any applicable subscription fees, billing cycles, and notice periods for changes or cancellation.

You may be able to submit reviews, ratings, messages, or other content through DocNearMe. You retain ownership of your content, but you grant us a non-exclusive, royalty-free licence to use, display, reproduce, and moderate it on the platform and in related marketing materials for DocNearMe.

When submitting content, you confirm that:

• it is based on your genuine experience where applicable;
• it does not contain unlawful, defamatory, or misleading material;
• it does not include personal health information about another person without lawful authority; and
• you have the right to share any information and media you upload.

We may edit, withhold, or remove content that breaches these Terms, our policies, or applicable law. Providers may respond to reviews where we make that feature available.

If you register as a provider or authorised clinic user, you also agree to the following:

• you have authority to act for the clinic or practice and to list the services offered;
• profile, registration, insurance, and fee information you supply is accurate and kept up to date;
• you will comply with applicable healthcare, advertising, and professional regulations in the UK;
• you are responsible for appointments accepted through DocNearMe, including confirmations, cancellations, and patient communications;
• you will handle patient information obtained through bookings in accordance with data protection law and your own privacy notices; and
• you will not use patient data from DocNearMe for unrelated marketing without a lawful basis.

We may suspend or remove listings that appear inaccurate, non-compliant, or harmful to users, or where onboarding or verification requirements are not met.

The DocNearMe name, logo, website design, software, and content we create are owned by us or our licensors and are protected by intellectual property laws. You may use the website for personal, non-commercial purposes in line with these Terms.

You must not:

• copy, modify, distribute, or create derivative works from our platform except as allowed by law;
• use our branding in a way that suggests partnership or endorsement without written consent; or
• reverse engineer or attempt to extract source code except where statutory rights apply.

Provider names, logos, and materials remain the property of their respective owners and are displayed under licence or with permission.

12.1 Service provided “as is”

To the fullest extent permitted by law, DocNearMe is provided on an “as is” and “as available” basis. We do not warrant that the platform will be uninterrupted, error-free, or free from harmful components, or that search results will meet your expectations.

12.2 Exclusions

Nothing in these Terms limits or excludes liability that cannot be limited or excluded under UK law, including liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation.

Subject to that, we are not liable for:

• medical advice, treatment, outcomes, or acts or omissions of healthcare providers;
• loss or damage arising from reliance on information on provider profiles, reviews, or third-party sites linked from DocNearMe;
• events outside our reasonable control, including internet outages, third-party service failures, or force majeure events; or
• indirect, incidental, or consequential loss such as loss of profits, data, or goodwill, except where such exclusion is not permitted by law.

12.3 Cap on liability

If you are a consumer, your statutory rights are not affected. Otherwise, our total aggregate liability to you arising out of or in connection with these Terms or your use of DocNearMe is limited to the greater of (a) the fees you paid to us for use of the platform in the twelve months before the claim arose, or (b) £100, except where a higher limit is required by law.

You may stop using DocNearMe at any time and may request account closure by contacting support@docnearme.co.uk.

We may suspend or terminate access to some or all of the services, with or without notice, if we reasonably believe you have breached these Terms, pose a risk to users or the platform, or where required by law. Provisions that by their nature should survive termination — including intellectual property, disclaimers, and limitations of liability — will continue to apply.

These Terms are governed by the laws of England and Wales. If you are a consumer habitually resident in the UK or the European Union, you benefit from mandatory protections under the law of your country of residence where they apply.

We hope to resolve concerns informally first — please contact support@docnearme.co.uk. If a dispute cannot be resolved, the courts of England and Wales shall have jurisdiction, subject to any mandatory rights you have to bring proceedings in your local courts as a consumer.

We may update these Terms from time to time to reflect changes in our services, legal requirements, or business practices. When we make material changes, we will post the updated Terms on this page and revise the “Last updated” date.

Where required by law, we will give you additional notice or ask for your agreement before changes take effect. Continued use of DocNearMe after updated Terms are posted constitutes acceptance of the changes, unless the law requires otherwise.
